Rate of pay: $21 - $23 / hr
Schedule: Full Time - 40 hrs/week

Position Summary

This position assists with various administrative functions to support the compliance department. Primary responsibilities include coordinating internal reviews of policy and procedure documents, proofreading policy documents, managing and processing records requests, and organizing agency documents.


Essential Duties

  • Collaborate with compliance and program managers to determine if policy revisions are needed.
  • Organize and maintain policy documents using the internal document management system.
  • Review and edit policy documents for clarity, cohesiveness, and compliance with formatting standards.
  • Coordinate ongoing policy reviews with program directors to maintain the accuracy of policies.
  • Maintain log of records requests and assign requests to appropriate personnel.
  • Process records requests in compliance with HIPAA and 42 CFR Part 2.
  • Complete quality reviews to ensure records requests are completed accurately and in a timely manner.
  • Respond to general inquiries from staff and the public regarding records requests.  
  • Assist staff with locating agency documents, such as policies, memorandums of agreement, and business associate agreements.
  • Communicate with staff regarding grant report deadlines and track the completion of reports. 
  • Attend work as scheduled and arrive at the designated time.
  • Work will be performed on-site due to the confidential nature of this role and the resources necessary to complete duties.

Secondary Duties

  • Assist staff with obtaining external documents relevant to agency policies.
  • Organize and track deadlines for memorandums of understanding and business associate agreements.
  • Participate in the Center for Accreditation of Rehabilitation Facilities (CARF) Steering Committee.
  • Perform other functions as necessary or assigned.

Bachelor’s degree preferred or equivalent combination of education, experience, and training which provides the following knowledge, skills, and abilities:

  • Excellent verbal and written communication skills.
  • Organized and detail-oriented, with the ability to prioritize tasks.
  • Project management skills.
  • Experience writing, editing, and/or maintaining organizational documents is preferred.
  • Experience in behavioral health clinics or homeless resource centers is an asset.
  • Computer literate with proficiency in Excel and Microsoft Word.
  • Ability to uphold professional boundaries, confidentiality regulations, agency policies and procedures, and interact in a professional manner with a diverse workforce, clients, and the public.
  • Willingness to accept supervision and direction.
  • Ability to pass a criminal background check and pre-employment drug screen.


Physical Demands

  • Work is generally performed in an office environment.
  • Entails using a computer for extended periods of time.
