Rate of pay: $21 - $23 / hr
Schedule: Full Time - 40 hrs/week

Position Summary

Reporting to the Director of Accounting, the Grant and Payables Specialist is responsible for the fiscal management of grants and contracts in accordance with government regulations, donor requirements, and agency policy. Responsibilities also include Accounts Payable approvals, coding, and entry.

This position works in close collaboration with accounting staff, program managers, external relations staff, and government agencies to accurately account for costs and the fiscal management of the agency’s grants and contracts.

Essential Duties

  • Perform invoice approvals, account and grant coding, data entry.
  • Manage VOAUT fleet invoices and tracking.
  • Prepare and submit periodic invoices along with required documentation for program reimbursement. Maintain organized grant documentation records to support the costs.
  • Communicate monthly financial results with appropriate management and program staff, informing them of the financial position of assigned grants and contracts.
  • Perform grant-related post-award functions, including budget and expense analysis, periodic invoicing, financial reporting, labor distribution changes, reconciliations, as required.
  • Assist with month-end closing, accounts payable and accounts receivable, and financial audits and monitoring.
  • Coordinate fiscal elements of grants and contracts with Contracts Manager and Data Director to ensure compliance and timeliness of required reporting.
  • Attend work as scheduled and arrive at the designated time.

 

Secondary Duties

  • Support Director of Accounting with accounting and finance activities and projects, including audits and financial reporting.
  • Proactively expand and integrate knowledge of accounting best practices.
  • Performs other functions as necessary or assigned.

 

Qualifications

Bachelor’s degree in accounting, finance, or business preferred and 2 years of accounting experience or any combination of education, experience, and training which provides the following knowledge, skills and abilities:

  • Microsoft Great Plains (Dynamics) and Smart Connect experience preferred.
  • Computer literate with demonstrated experience with MS Office and advanced proficiency using Microsoft Excel.
  • Previous grant and non-profit accounting experience preferred.
  • Knowledge of federal grants and regulations preferred.
  • Accounts Payable and invoice coding experience preferred.
  • Ability to both think and work independently and as part of a team.
  • Strong analytical and interpersonal as well as the ability to multi-task.
  • Accurate, organized and detail oriented, with the ability to prioritize tasks.
  • Ability to uphold professional boundaries, confidentiality regulations, agency policies and procedures, and interact in a professional manner with a diverse workforce, clients, and the public.
  • Willingness to accept supervision and direction.
  • Must be able to pass a criminal background check and drug screening.

  • Work is performed in an office environment.
